Xoralia 4.0 release notes
Highlights of this release:
The compliance dashboard brings every signal about your document compliance into one live view — so the people responsible for policy and governance can see where things stand, prove it, and act on it without pulling reports together by hand.
Who it’s for
- Xoralia & compliance admins — the roles with access, who need an organisation-wide picture of compliance.
- Compliance, risk & governance teams — anyone accountable for making sure required reading actually happens and can be evidenced.
- Leaders reporting upward — anyone who has to answer to auditors, regulators or a board on the state of compliance.
Why the information matters
- One live view. See compliance across every library at a glance, instead of stitching together separate reports.
- Evidence on demand. Attestation rates and on-time review and approval figures give you audit-ready proof that governance is working.
- Risk spotted early. Surface expired documents, overdue updates, low-attestation areas and documents with no owner before they become problems.
- Clear accountability. Know exactly who owns, reviews and approves what — and who is keeping up.
- Action where it counts. Filter by library, location, department or collection to target the teams and content that need attention.
- Direction, not just a snapshot. Trend lines show whether your compliance position is improving or slipping over time.
Attestation
See attestation at a glance. The first tab pulls together every attestation assignment across your Xoralia libraries, so you can tell in seconds how much of your workforce has read what they’ve been asked to read.
- Current attestation rate. A single figure for how many of all live attestation assignments are complete — with an arrow showing whether you’re up or down on last month.
- Attestation rate trend. A rolling 12-month line so you can see at a glance whether your rate is climbing or slipping.
- Four ways to view it. Switch between Org wide, Library, Location and Department. Location and Department are drawn from each user’s Active Directory profile.
Document status
Track every document through its lifecycle. Four filters split your content by exactly where it is right now, and you can narrow any of them by library.
- Published. Everything published through the Xoralia workflow, tagged New or Updated so you can tell first releases from revisions. Filter by this month, or the last 3, 6 or 12 months.
- In progress. Documents currently being updated or published, each showing its live workflow stage — Ready for review, Ready for approval, Sent for approval or Ready for publishing.
- Not yet started. Live documents that don’t yet have a draft — in other words, the owner hasn’t started updating them.
- Expired. Documents whose expiry date has already passed and need attention.
Stakeholders
Know who owns, reviews and approves your documents. Three sub-tabs put the people behind your governance front and centre — and show you how they’re keeping up.
- Document owners. How many document owners you have and how many documents each one owns. Expand any owner to see the exact documents they’re accountable for.
- Reviewers. For every reviewer: pending reviews, completed reviews, how many were on time versus late, and how many were marked invalid or not needed.
- Approvers. The same picture for your approvers, so you can see where approvals are flowing and where they’re stuck.
Reviews & approvals
Are reviews and approvals happening on time? A focused view of how promptly your review and approval steps are being completed, plus a full log of everything that has passed through the process.
- Review rate & trends. How many reviews were completed on time this month, and the on-time trend across the last 12 months.
- Approval rate & trends. The same on-time picture for approvals.
- Review & approval logs. Every document that has been through review and approval, and the document owner behind each one.
Most popular documents
See what people are actually reading. Two lenses on engagement — one based on raw opens, the other on completed attestations.
- Views. Powered by SharePoint analytics, this counts how many times a document has been opened — whether or not it was ever assigned for attestation.
- Attestations. How many attestations have been completed, filterable by this month, last 3, 6 or 12 months, or all time.
Collection-level attestation, now for compliance. Collection owners and admins could already see attestation percentages for their collections. From this release, Xoralia and compliance admins can see attestation rates by collection too — visibility they didn’t have before.
Orphaned documents
Find the documents nobody owns. Every document should have an owner — someone accountable for keeping it accurate and getting it out for attestation. In reality, documents sometimes slip through the cracks.
This tab lists every document living in a Xoralia-associated library that has no document owner, so you can assign accountability and close the gaps before they become compliance risks.
The compliance dashboard is available now. There’s nothing to install or switch on.
