Collection metrics

The use of Collections is valuable in Xoralia as it means documents with a common interest can be grouped together for benefit by the Compliance admin and/or to the Xoralia reader. Content Formula have further enhanced Xoralia so that the documents grouped together in a Collection can provide a clear indicator to the Xoralia admin, Compliance admin and Collection owner. The metrics that are shown for ease of compliance are:

Compliance attestation score: This score calculates all documents in the collection that have been assigned for attestation and calculates their average attestation score. For example if 3 documents in the collection (group together to comply with ISO:27001) have been assigned, one has a 100% attestation compliance score (all staff have confirmed reading the document), one has an attestation compliance score of 75% and one has an attestation compliance score of 25%, the average attestation compliance score for that collection is 68%. If the audit required the Collection to have over 70% average attestation it is efficient to demonstrate that the audit may fail and that the document with the lowest attestation compliance score in the collection requires chasing to meet a higher attestation compliance score.

Document compliance attestation score: This score counts the amount of documents in the collection that have an expiry date, and how many of these have not yet met their expiry date.

Historically the Document Contact field in Xoralia has only accepted ‘Single line of text’ from SharePoint. Now, Xoralia accepts a Choice column type, providing better control over selection value capability by the Document Owners if desired.

To adopt this enhanced level of control, upon Xoralia implementation simply edit the column type in SharePoint to be ‘Choice’ as set up your Choices per library as desired. The Choice selection will be able to be modified during a document update using Xoralia workflow functionality.

Each users My dashboard now provides additional benefit if the user is a Document Owner with Documents that they own with an upcoming expiry date (and thus requires an update or revalidation via Xoralia’s workflow processes, and a quick access area to their existing drafts.

API & Webhooks

Xoralia now includes a system API and webhook support, giving your team the flexibility to integrate policy management directly into your existing tools and workflows. Use the API to programmatically access and manage policy data, and configure webhooks to trigger actions in other systems whenever people acknowledge policies in Xoralia.

Replace PDF documents in Xoralia

Although PDFs are unable to be supported to be edited in Xoralia, Xoralia now allows for PDFs in live libraries to be replaced (and sent through approval workflow) by using the Add document button (as a Document administrator).

This means Xoralia can still provide an audit trail on the update of PDF documents. PDF documents will only replace other PDF documents with the same document name, and the overwrite will prompt the Document Owner to confirm the action.
