“Xoralia’s approval workflow is especially valuable because it supports collaboration during document creation and revision while still ensuring the proper approvals are completed by the correct parties. Our old software had no approval workflow and often individual document owners would make their own updates and it wasn’t until after they were published that others also had updates that were needed.
Xoralia saves us re-work time so that the document can be updated correctly the first time.”
Document management case study
Prevail Bank builds bank-wide document management on Xoralia
Powered by Xoralia. Implemented by our team at Content Formula, the consultancy behind Xoralia.

By Lisa Rickman, Project & Account Manager
Prevail Bank is a community bank based in Medford, Wisconsin, with around 130 employees. Before Xoralia, the bank's procedures, policies, reference guides, videos and forms were stored in a platform that struggled to separate document ownership from the intended audience. Document owners could publish updates without collaboration or approval. The platform was also HTML-based also made content formatting and editing cumbersome and limited Prevail Bank’s ability to establish the document governance it wanted.
Instead, Xoralia gave Prevail Bank one governed home for that content inside the bank’s own Microsoft 365 tenant. Over 900 pieces of content were moved into structured, permission controlled libraries in SharePoint, with mandatory, multi-level review and approval workflows. These day-to-day procedures, policies, customer facing regulatory documentation, and reference guides now have both keyword and AI searches layered on top for easy searchability for the end-users.
Document owners still own their content directly. What changed however, is the governance around it: every update now runs through a workflow built for their own team, not one generic process applied everywhere.
The challenge
Prevail Bank's goal was to put in place and maintain full department-by-department procedure documentation: every process a member of staff needs to follow, written in enough detail that a newly trained employee could complete it with minimal questions. Formal policies sit alongside everyday procedures, sensitive back-office documentation, documents confidential to a single department, and customer-facing documentation - each with its own audience and its own level of access.
The bank's previous document management platform could not support that cleanly. It sent notifications when a document was due for review, but document owners could publish their own updates without anyone else reviewing them first, so changes reached staff before other document owners had a chance to propose updates of their own. Prevail Bank weighed its incumbent document management platform against ConvergePoint, SharePoint Policy Manager, native (standalone) SharePoint, and Xoralia, mapping each option against the features that mattered most and what they would cost. Xoralia came out the clear winner: the document management functionality Prevail Bank needed.

Why start with the structure, then workflows, then web parts?
Onboarding began with a structured handover from the Xoralia sales team to the implementation team and a kickoff session. The team then ran a discovery call to understand Prevail Bank's existing document structure and used it to recommend the best way to organize libraries within SharePoint, before installing Xoralia into Prevail Bank's Microsoft 365 tenant. Rather than a standard implementation, the team delivered one tailored to Prevail Bank’s use case. This meant Xoralia capabilities were put live in a specific order: document structure first, then review and approval workflows, then SharePoint audience-tailored pages including AI search, with attestation to follow. Even the training was adjusted to suit their particular needs.
Document owners and end-users received dedicated training once that workflow-based process was ready to use, and Xoralia's web parts, including AI search, were shared and set up for Prevail Bank's SharePoint intranet. Prevail Bank kept its previous platform available in parallel for 30 days after implementation to have a back-up while end-users were adjusting to the new platform. Once live, the relationship moved from implementation into ongoing support, the same team that now handles account calls, enhancement requests and day to day questions.
What was delivered

Prevail Bank's document libraries live in SharePoint and are governed are by Xoralia helping the bank mange access, review, approval and document ownership across departments. Each document is tagged with a type such as policy, procedure, reference guide or video to make search and identification quick and easy.
Every update now goes through review and approval before it reaches end-users. Workflow steps can be set to run sequentially or concurrently. Prevail Bank's Xoralia Administrator has taken the workflow builder further than most, running dozens of workflows tailored to different departments and document types, a strong signal that reviews now happen on rails, not based on memory or chance.
Search was built around how people actually look for documents. So, end-users are provided with multiple ways to search. Not only can users search with the Xoralia App, but using Xoralia's web parts, Prevail Bank created an additional dedicated search page that places the Xoralia AI search web part next to a standard search web part, giving staff a choice in how they search and a way to compare results. That choice is already paying off: employees are using the AI search to ask questions of their documents directly, using natural language. The AI search provides pertinent answers and includes references and links to source documents so employees can verify the results. Results are also filtered by each person's permissions, so end-users only get answers from documents they are allowed to see.
Document owners also rely on Xoralia's email notifications and reminders to keep review cycles moving without having to manually follow-up with colleagues. Prevail has chosen to receive these through email, but they can also be set up with Teams. Prevail Bank is also using Xoralia's linked documents feature to connect related procedures and reference guides, so end-users can easily access other related documents when viewing a procedure. This linked document function serves a secondary purpose of notifying document owners so that updating one document keeps the wider picture current.
The newest addition to Prevail Bank’s document management processes is Xoralia's attestation capability. Prevail Bank ran its first cycle on training tied to operational and compliance-related process changes, where staff needed to understand what had changed, not just confirm they had seen the new process. To do this, Prevail Bank used the quiz functionality so an attestation required a positive acknowledgement and achieving a certain score to prove understanding. Document owners are now looking to use attestation more widely on other key procedures.

Why it mattered
When asked what Prevail Bank would lose if Xoralia disappeared tomorrow, Amanda Jordan did not hesitate: the approval workflows, document owner notifications, and AI search. The documents would still exist in SharePoint, but they would be harder to find, and the update process would have to be rebuilt.
That is not a hypothetical Prevail Bank is waiting to test. Document owners across the bank are already putting their first documents through the new update workflow, understandably careful the first few times, and the process becomes second nature quickly once someone has been through it a handful of times. The bank rates its overall experience with Xoralia as good, rates onboarding and ongoing support as excellent, and says it is very likely to recommend Xoralia to others.
None of that lands as well without the relationship behind it. Our team has turned Prevail Bank's own suggestions into confirmed product roadmap items, and fixed reported issues, such as metadata tags not carrying through an update workflow, the same day they were found. Amanda Jordan has said that level of responsiveness makes her feel like a valued client, even though Prevail Bank is not Xoralia's largest customer. For a bank documenting procedures across every department, that kind of partnership matters as much as the platform itself.

The story behind Xoralia
Xoralia was built by the team at Content Formula, an intranet and digital workplace consultancy that has built SharePoint intranets for some of the world's most famous companies. Now, most companies want their policies and procedures on the intranet but they don't just want to store them there, they also want tools to help better manage them. Over the years we came across just about every single requirement for a policy management system. As this article above explains, there are gaps in SharePoint and so we never built what in our mind was the perfect policy management system.
However, one of our clients challenged us to build something for them that filled all the gaps but still used SharePoint at the back end. We had a great relationship with them and agreed to share the budget to do this, provided we could then market the solution to others. That was in 2019. We're now on version 3 of Xoralia and the product has grown and evolved a lot.
