“The back-end SharePoint side, and the way we manage our policies there, has been a huge upgrade for us compared to our last platform. We really appreciate having full control over our documents in our own environment, rather than putting them on somebody else's portal.”
Success story
Nature's Sunshine Products: governing manufacturing SOPs and policies inside Microsoft 365
Powered by Xoralia. Implemented by our team at Content Formula, the consultancy behind Xoralia.

By Alexandra Jones, Project and Account Manager
Nature's Sunshine Products is a natural health and nutritional supplements manufacturer based in Lehi, Utah, with around 1,000 employees. Alongside its wider policy library, the business manages the manufacturing SOPs and ISO 9001 documentation that keep a regulated production environment running safely, and its previous platform had stopped being able to support that at scale. We worked with Nature's Sunshine to implement Xoralia, bringing the policy library, attestation, approval workflow and reporting together under one system, and building competency testing directly into the SOPs themselves. More than a year on, the platform is used daily across Manufacturing, Legal, Finance, HR, IT and Quality, with the manufacturing team among its strongest advocates.
The challenge
When we first spoke with Nature's Sunshine, the pressure wasn't coming from one direction. It was coming from several at once. The team were managing close to 1,000 controlled documents, among them the manufacturing SOPs and ISO 9001 documentation that keep a regulated food production business running safely and legally. Their existing policy platform had become a genuine constraint: costs kept rising, the product itself had stopped moving forward, and it was no longer built for the scale of content Nature's Sunshine needed to manage.
Underneath that, the real issue was governance. As a publicly traded company working to FDA, ISO 9001 and a wide spread of other standards, Nature's Sunshine needed to prove, not just assume, that staff had read and understood the documents that governed how machines were operated and products were made. Annual reviews and approvals needed to move cleanly across multiple departments, each with its own owners and approvers. And because the business operates across multiple sites, there were real questions about who should see which documents, and how to stop a document meant for one location surfacing somewhere it shouldn't.
Auditors needed evidence, not reassurance. Nature's Sunshine needed a system that could show, clearly and quickly, who had reviewed, approved and acknowledged every controlled document in scope, while the previous platform kept running so nothing was lost in the move.
Does this sound familiar?
If your organisation is managing SOPs, policies or other controlled documents that have outgrown their current platform, we'd be glad to talk through how Xoralia could help.
Why start with the governance model, not the document upload?
The instinct with a project like this is to start moving documents across. We started somewhere less obvious: with the people who own them.
Before a single SOP or ISO document moved into SharePoint, we worked with Nature's Sunshine to map out who the document owners, approvers and administrators would be across Legal, Manufacturing and IT, alongside the HR and Finance stakeholders who had flagged similar needs earlier in the process. Getting that structure right first meant that when content did move, it moved into a system where responsibility and access were already clear, rather than being worked out after the fact.
With that foundation in place, the team built out Nature's Sunshine's SharePoint document libraries and worked through the practical decisions around metadata and tagging, so that permissions based on role, team and location could be set up properly. A dedicated session on term store, tagging and permissions ran alongside separate Document Owner Training and Workflow Training, so each group learned the part of the system that was actually relevant to them, rather than sitting through one generic walkthrough.
The previous platform stayed live throughout, which meant Nature's Sunshine could migrate content across in a managed way rather than switching everything over in one move.
What was delivered

At the heart of the rollout is Xoralia's policy libraries, now home to Nature's Sunshine's manufacturing SOPs, ISO 9001 documentation and wider policy set, inside their own SharePoint environment. Employees only ever see the current, approved version of a document, with a full version history sitting behind it. What this means in practice: a technician on the manufacturing floor is working from the SOP that's actually in force today, not a version someone forgot to update six months ago.
One of the most distinctive things about how Nature's Sunshine uses Xoralia is that it tests competency, not just confirms reading, and it does this at a scale we rarely see elsewhere. More than 400 manufacturing SOPs carry their own true/false and multiple-choice questions, built directly against the procedure they sit alongside. After someone works through an SOP for running a piece of equipment, they don't just tick a box to say they've read it, they answer questions that show they've understood it. What this means in practice: a new starter learning a manufacturing process ends up with a record that proves not just that they opened the document, but that they knew what was in it.
Alongside that, sign-off itself runs through Xoralia's policy attestation, with automatic reminders going out until each read is completed, so nobody on the document owner team has to chase people manually. Nature's Sunshine is now running at a 96.6% attestation rate. In practical terms, document owners can see with confidence exactly who has and hasn't confirmed a given SOP, rather than relying on a paper trail or an honesty system.
Reviews and approvals for SOPs and policies now run through Xoralia's document workflows, which route each one straight to the right person for that department. The result: an annual SOP review moves automatically to the right approver, with a timestamped record of who signed it off and when, rather than depending on someone remembering to forward an email.
The concern about documents crossing sites is addressed through Xoralia's audience targeting, which respects the SharePoint permissions Nature's Sunshine already has in place rather than requiring a separate permissions setup. Content is shown to the right people based on existing role, team and location structures, not a parallel access model the team would have to build and maintain themselves. This means that a policy written for one site or region stays visible only to the people it's actually relevant to, without adding another layer of admin on top of what SharePoint already manages.
Underpinning all of this is Xoralia's reporting and audit trail, including a compliance dashboard that gives document owners a live view of attestation rates by library as well as organisation wide. What this means in practice: when an auditor comes asking, the answer is already there rather than needing to be reconstructed, and a document owner can see exactly where their library stands at a glance.
The platform's reach keeps growing. As Nature's Sunshine works towards its ISO 45001 safety certification, monthly safety training now runs through Xoralia alongside the SOPs and policies, with staff attesting to each session in the same way. Separately, after assessing a dedicated lab information management system and finding it wasn't the right fit, the quality team is now bringing its library of around 500 laboratory methods of analysis into Xoralia too, moving them off paper and into the same governed environment as the rest of the business's controlled content.
Curious what else Xoralia can do?
“We've had a lot of our auditors ask how we're testing competency, and we didn't have a way to do that until we launched Xoralia. That's been wonderful.”
Why it mattered
For Nature's Sunshine, the shift is best measured by how the platform is actually being used, rather than by any single number. The clearest example is competency testing: proving staff understand a procedure, not just that they opened it, something the business could not evidence before Xoralia and now produces as a matter of course. Adoption of Xoralia is complete across the organisation, and the manufacturing team, who arguably had the most to gain from getting this right, say the management of their SOPs is genuinely improved. Several users have described Xoralia as a step up from the platform it replaced.
That matters because the alternative wasn't neutral. Without a governed, auditable way to manage SOPs and policies, Nature's Sunshine would have kept carrying the cost of not being able to show, quickly and confidently, that the right people had read the right documents at the right time, across a regulatory footprint that now spans ISO 9001, the safety management standard it's now pursuing, and obligations from Sarbanes-Oxley to international regulators such as Australia's TGA. Instead, the business has a governance model with clear owners, approvers and administrators, a 96.6% attestation rate to point to, and an audit trail that holds up whenever it's asked for.
That partnership continues past go live: our team and Nature's Sunshine continue to meet to review how the platform is being used and where it can go next.

If your organisation is managing a similar volume of controlled content and wants the same level of confidence, we'd be glad to talk it through.
The story behind Xoralia
Xoralia was built by the team at Content Formula, an intranet and digital workplace consultancy that has built SharePoint intranets for some of the world's most famous companies. Now, most companies want their policies and procedures on the intranet but they don't just want to store them there, they also want tools to help better manage them. Over the years we came across just about every single requirement for a policy management system. As this article above explains, there are gaps in SharePoint and so we never built what in our mind was the perfect policy management system.
However, one of our clients challenged us to build something for them that filled all the gaps but still used SharePoint at the back end. We had a great relationship with them and agreed to share the budget to do this, provided we could then market the solution to others. That was in 2019. We're now on version 3 of Xoralia and the product has grown and evolved a lot.
