Xoralia 3.3 release notes

Highlights of this release:

Associate custom metadata

Some documents may require additional information to be displayed for the document readers, either for reference or to assist with the organisation and findability of documents; extra metadata such as sub-department, confidentiality levels, published date etc. The new library settings in Xoralia allows for additional metadata columns to be synced on a per library basis, providing flexibility on information shown.

Allow for downloading of documents

Controlling which documents are downloaded and therefore saved locally should be treated important consideration within any business. Ensuring employees and staff are reading the latest version of documents and not following out of date information is a significant factor that can impact compliance. However, it is the case that some documents, such as forms and working documents may needed to be downloaded from time to time.

Xoralia’s new download feature can help the controlling of document distribution. Document download functionality can be enabled or disabled at library level and also by document level, allowing for the flexibility and to be switched on and off by document owners.

User feedback on document content

It is often the case the first people to spot a confusing statement or misunderstanding on instructions are the ones required to read and follow the information, rather than those writing the policy or process and the ones reviewing and approving the amendments.

To allow for user feedback on documents to be collected, we have a new feature in the Xoralia document ribbon where readers are able to submit feedback to the document owner or document governance team.

Create and uploading documents

Xoralia’s new slick document upload and create document process allows for documents to be created or uploaded straight into Xoralia, minimising the need for the use of the SharePoint interface. We understand SharePoint is super powerful, but also that it might not look and feel like part of the document management system. To combat this our new ‘Add document’ button create or loads the document straight into SharePoint while still working in the Xoralia interface.

There are also controls on which libraries people are able to create a new document into, meaning no incomplete documents are visible in live libraries. Only file uploads are allowed into live libraries. Compared with the open to also create a file if a draft library is selected.

New and improved webparts

Xoralia has made significant updates to the webpart offering, providing a seamless experience between SharePoint and Xoralia. Introducing new webparts such as Favourites, Collections, Drafts for review and approval, Search (for content) and more.
