Workflow builder

At Xoralia, we understand that often there needs to be a rigid process in place to ensure policy documentation takes the right path when being updated. A generic two step review and approval process with flexible recipients may work for some organisations, however other more regulated industries may need multiple review steps, some allowing modifications directly to the policy (some not), and often with various approval stages and mandatory recipients.

Xoralia’s new workflow builder allows you to create workflows based on your own requirements, and apply them as optional or mandatory workflows per document library or folder(s) (within document libraries).

Xoralia’s preset workflow will still be available and used as a default for those wishing to allow flexibility on document update processes. However, if you’re looking to customise your document update processes Xoralia 3.5 caters for this scenario too.

To enable the custom workflow builder, a Xoralia admin needs to specify in Xoralia Settings who is able to create custom workflows. By adding individual users as workflow administrators, a new navigation item will be made available to the appropriate people listed under Document Governance.

By creating a workflow, the user becomes the workflow owner. The workflow owner can also allow additional owners of the workflow to help manage and create the flow.

You can have multiple optional workflows applied against a single folder or document library. Alternatively you can have folder or document library with one single mandatory workflow associated with it – providing a rigid structure for the documents within that library or folder.

There are different configurations available within workflow builder, allowing for varying amounts of stages, configuration on which reviewers and approvers can edit/unlock documents, providing document owners the benefit to skip stages, and also the ability to keep individuals separate from the process informed (such as Directors and overseers of documentation).
